Information for external organisers

The University of Southern Denmark offers a modern and flexible setting for academic events. SDU offers a wide range of rooms, including everything from small meeting rooms to large auditoriums and open central areas, suitable for both classic conferences and more informal events.

The university's facilities are rented out to both public and private companies, organisations and research environments when capacity is available. SDU's campuses are known for an open and inspiring university environment where architecture, technology and academic settings create optimal conditions for knowledge sharing, networking and immersion.

SDU is particularly suitable for:

  • Professional conferences, workshops and seminars
  • Large and small-scale events
  • Events with a need for auditorium capacity
  • Events where proximity to research or academic settings is an advantage

Booking for external organisers

  • External events are activities that do not have a formal SDU employee in charge. All booking of such events is handled via Technical Services.

  • SDU rents facilities to external organisers on commercial terms and it is important to be aware of the following:

    Rental and capacity

    • Rental takes place through Technical Services by contacting 8888@sdu.dk.
    • Rental can only take place if SDU has available capacity and in accordance with applicable rules for borrowing and renting SDU's premises.
    • SDU cannot make resources available free of charge for external events, as we do not want to distort competition with external meeting and conference providers.

    Finance and settlement

    In addition to room hire, the organiser must pay for

    • Set-up and re-establishment of rooms and areas.
    • Officer supervision if SDU deems it necessary for security and logistical reasons.
    • Any special technical needs that require additional equipment or staffing.
    • Anything else that requires SDU's resources or if services must be purchased from external suppliers etc.

    Tips and tricks for external organisers

    • Remember to clean up after your event - the room must be returned in the same condition as when you received it. Remember to remove rubbish, clear tables and ensure that the furniture is in the correct position.
    • Be aware of any deadlines for changes or cancellations of rooms and services. These are typically stated in the rental contract.
    • As the organiser, you must ensure that your participants can enter SDU. If the event is held outside normal opening hours, the outer doors will be locked and require an ID card. Requests for opening doors must be sent in good time to Technical Services at 8888@sdu.dk
    • Catering for the event can be ordered via the local canteens.

  • Technical Services acts as SDU's internal support unit for events and handles a number of practical tasks in connection with planning and organisation.

    They offer help with:

    • Advice on facilities, capacity and practical framework
    • Regulatory approvals where necessary
    • Booking of rooms and central areas
    • Temporary electrical installations
    • Loan of standard equipment such as tables, chairs and partitions
    • Set-up, take-down and cleaning

    Their support ensures that the event can take place in a safe and well-organised environment.

Professional advice for conference planning

For organisers looking for support in planning, SDU offers cooperation with two established players in conference consultancy and congress services.

Destination Fyn Convention Bureau

Destination Fyn provides free and impartial advice to both Danish and international organisers who want to hold meetings or conferences on Funen. Their advice covers everything from choosing venues and hotels to sparring about the programme, logistics and opportunities in the local area.

They can also help establish contact with relevant companies, local organisations and authorities and assist with project management for larger conferences. If the organiser wishes, Destination Fyn also offers to prepare presentation material and bids that can be used to attract conferences.

A personal meeting at SDU can be arranged if the organiser wants to see the facilities or get more in-depth advice.

KongresKompagniet

KongresKompagniet is an experienced congress and meeting organiser that works both nationally and internationally. They offer professional help with the entire planning process, including administration, project management, registration, contracts and handling abstracts.

They can act as a full-service provider or support selected parts of the conference planning, depending on the organiser's needs.
