Leave of absence and interrupted studies

If you wish to discontinue your PhD programme, this must, in concert with your principal supervisor, be notified in writing to the department and the PhD School Secretariat.

As a PhD student employed at the Faculty of Business and Social Sciences, you must give written notice of maternity leave, no later than 3 months before the expected birth, to the department, the faculty’s staff administration and the PhD School Secretariat.

You are covered by the contractual maternity rules. For information on current rules for maternity leave and adoption, please contact the University of Southern Denmark’s Personnel Department or see the Danish Personnel Agency’s circular on maternity, adoption and care days.

Special rules apply for 4+4 students under Part A. If you, as a PhD student, are enrolled without employment at the University of Southern Denmark, you must give the PhD School Secretariat written notice of maternity leave.

If you are not employed by the Faculty of Business and Social Sciences, you must still notify your principal supervisor, the department and the PhD School Secretariat of your maternity leave, so that your enrolment can be rescheduled accordingly after the end of your maternity leave.

If you are on sick leave for a longer period, this must be notified to the principal supervisor, the department and the PhD School Secretariat.

If you wish to apply for an extension of your enrolment on the basis of illness, the following application form must be used and sent to the PhD School Secretariat: form

Please note that an extension of the PhD programme is not granted for illness lasting less than a month.

In special circumstances, other types of leave from the PhD programme may be granted after a motivated application to the Head of PhD School, together with a recommendation from the principal supervisor and the Head of Department for e.g. other temporary employment, provided that the period of leave has academic relevance in relation to the PhD project. You must always apply for leave of absence prior to the planned period of leave. In concert with the Head of PhD School, the Dean decides whether leave can be granted and sends you written notice. You must use a special form to apply for other types of leave.

If your PhD thesis has not been submitted at the end of the prescribed duration of study, you will be notified to apply to the Head of PhD School for an extension of the deadline for submission of the PhD thesis, and thus extension of the enrolment period. The application must contain a schedule for the further work on the thesis and state an expected date for submission of the thesis. The application must be accompanied by a recommendation from the principal supervisor and Head of Department.

If the thesis has not been submitted by the end of the extension period, you will be notified that the enrolment will be terminated.

If the Head of PhD School does not receive an application for postponement of the submission deadline, and thus extension of the enrolment period, the PhD School Secretariat will issue a notice that enrolment will be terminated if your PhD thesis has not been submitted 6 months after the end of prescribed period of study. A special form must be used to apply for an extension of the submission deadline.
