When to apply?

There are no deadlines for applications for entering in collaboration with OPEN. All applications are processed continuously. Applications for admission can be done in all project phases, also in the planning phase. All relevant notifications/authorisations do not need to be present at the time of application, but can be forwarded later.

Who may apply?

All health researchers may apply for entering in collaboration with OPEN. There can be specific requirements according to which facilities are needed.

What happens after I have sent my application to OPEN?

OPEN will invite you to an admission meeting (approximately one hour) and together we will find out, what OPEN has to offer your and your research project. OPEN's personnel will prepare for the meeting, therefore it is important that you send project description, budget etc.

Which projects may be included?

All health research related projects, which include systematically collected cohorts of individuals (healthy or sick) and which lead to publications. OPEN enroll biobanks as well as projects based solely on clinical data, questionnaire data, interviews, register data or wish assistance with randomisation.
There are no specific requirements for the size of the project. However, in general, projects must be similar in size to pre-graduate research-year projects or more, to be enrolled.

    Even though your project is admitted to OPEN and OPEN store data/biological material from the project, OPEN will always need your written consent, as project responsible researcher/licensee, before extracting any data or biological material from the project. Thus, if other researchers are interested in data/biological material from the project, they may contact open@rsyd.dk and OPEN will then mediate the contact with you.  1. Projects from public hospitals in the Region of Southern Denmark and Clinical institute

OPEN in general: From 1st April 2021, an upper limit for free hours for projects admitted in OPEN will be introduced. The limit is 30 hours across OPEN facilities, except OPEN GCP-unit. In addition, hourly limit for each facility/service, see below.

OPEN Project Coordination: All projects admitted in OPEN must pass OPEN Project Coordination. The project coordination includes: Advice concerning project admission and ongoing as needed, admission of project as an OPEN project, signing of a license agreement, PR for the project via OPEN website and a reminder of expiry of data processing approval three months before expiry and safe storage of data in accordance with current legislation. OPEN offers 10 hours project coordination free of charge.

OPEN IT & Datamanagement: OPEN IT-facilities: REDCap, OPEN Analyse, OPEN Storage and OPEN Randomise. 20 hours assistance across the mentioned systems free of charge.

REDCap: Use of REDCap is free. IT & Data management in relations to REDCap contains: Introduction to REDCap, guidance on the tables composition, validation rules and codebook, establishment of users, opportunity for continuous guidance from OPEN’s data managers, help for complex development jobs, transfer of data to the national Danish archives by expiry of the approval for data processing and storage of data as well as following deletion of data. For complex/larger studies arrangement on co-financing will be made.  Services: Safe storage of data in accordance with current legislation. Operation: Maintenance and update of REDCap installation. 

OPEN Analyse: Use of OPEN Analyse for analysis of research data is free. OPEN Analyse gives free access to STATA and R. OPEN IT & Data management includes: User establishment, introduction and guidance, help with ex. transfer and pseudo anonymization and encryption of data if needed. Services: Safe storing of data in accordance with current legislation.

Storage of files in OPEN Analyse is free up to 200 GB, the project is invoiced DKK 2.000 for every extra 300 GB put forward.

OPEN Storage: Is generally used for storage and processing of data and files that needs to be accessed through specific software, that is not available in OPEN’s current software package. OPEN IT & Data management includes: 
User establishment, introduction and guidance, help with the transferring of data, pseudo anonymization and encryption of data if needed. Services: Safe storage of data in accordance with current legislation. 
Operation: Maintenance and development of OPEN Storage.

Storage of files in OPEN Storage is free for up to 200 GB, the project is billed DKK 2.000 for every extra 300 GB, put forward.

OPEN Randomise: The use of OPEN Randomise for randomization of projects is free. OPEN IT & Data management includes: Configuration of randomizing and guidance for use, establishment of users, possibility for continuous assistance from OPEN’s data managers. Services: Safe storage of data in accordance with current legislation. Operation: Maintenance and development of OPEN Randomise.

 OPEN Registry: Registry advice includes: How to use the Danish registries, content, data extracts, extraction specifications and handling of registry data. 20 hours OPEN Registry advice free of charge.

OPEN Registry datamanagement/analyse: It is also the possibility within OPEN Registry for in-depth involvement for the execution of the registry research project consisting of scientific collaboration, data management and analysis of data etc. Furthermore we offer the possibility of help to establishment and structuring of larger registry data bases. Financing of thorough involvement is agreed in more detail with OPEN as well as possibly co-authorship in accordance with the Vancouver criterias.

OPEN Registry DatabaseOPEN Registry has established a registry database at Statistics Denmark. Service in connection with use of OPEN Registry Database includes check of project application and extraction specifications, submission of material to Statistics Denmark. Establishing cohorts based on project specifications and a course about data security before the researcher gets access to the project. Access to OPEN Register database is financed by the project according to the need of data.

OPEN Statistics advice: Statistical guidance is free for up to 10 hours per project engaged by OPEN. The 10 hours include the bio statisticians preparation and follow up as well as possible meeting activity and can relate to guidance about the project’s calculation of strength, randomizing or use of statistical methods.

OPEN StatisticsOffers against payment of a fee, scientifically contribution in connection with planning and carrying out research projects or conducting concrete statistical analyses for projects. Financing of in-depth involvement is agreed with OPEN as well as possibly co-authorship in accordance with the Vancouver criterias.

OPEN Qualitative advice: Use of NVivo for qualitative research is free. NVivo is used for transcription, structuring, coding and analysis of qualitative data, for example interviews or observations. The software is accessible via OPEN Analyse (see the above description in regards to OPEN Analyse). OPEN Qualitative guidance in relation to your project is free until 20 hours and consists of guidance in qualitative methods as well as introduction and guidance in relation to the project of NVivo.

OPEN Qualitative: In-depth involvement of an OPEN Qualitative specialist for additional advice or coding and analysis. Financing of in-depth involvement is agreed  in more detail with OPEN as well as possibly co-authorship in accordance with the Vancouver criterias.

OPEN Biobank: Expenses for physical handling/preparation and registration of sample material is paid directly to the laboratory handling the samples.

2. Projects from additional SDU SUND institutes as well as IRS projects without association to the Region of Southern Denmark

OPEN Project Coordination: All projects admitted in OPEN must pass OPEN Project Coordination. The project coordination includes: Advice concerning project admission and ongoing as needed, admission of project as an OPEN project, signing of a license agreement, PR for the project via OPEN website and a reminder three months before expiry of the permission for processing and storing personal data. OPEN offers 10 hours project coordination free of charge.

REDCap: Use of REDCap including OPEN IT & Datamanagement assistance will be invoiced according to OPEN’s price list. Contained in the price is up to 20 hours OPEN IT & Data management including service and operation. OPEN IT & Data management in relation to REDCap contains: Introduction to REDCap, guidance in the composition of the tables, validation rules and code book, establishment of users, possibility for continuous guidance from OPEN’s data managers, help for complex development jobs, help with the transferring of data to the national Danish archives by expiry of the approval for data processing and storage of data as well as following deletion of data. Services: Participation in OPEN REDCap courses free of charge. Safe storage of data in accordance with current legislation. Operation: Maintenance and development of OPEN’s REDCap installation. 

OPEN Analyse: OPEN Analyse provides free acces to STATA and R. For projects already using or wishing to use OPEN’s REDCap installation, the data management hours, that follows establishment of users and guidance in relation to the use of OPEN Analyse, will be registered as part of the 20 data management hours. Find price for REDCap incl. Use of OPEN Analyse as a single service is paid according to OPEN Price list. Here 20 hours OPEN IT & Datamanagement and service/operation is included. OPEN IT & Datamanagement includes: Establishment of users, introduction and guidance, help with the transferring of data to the national Danish archives by expiry of the approval for data processing and storage of data as well as following deletion of data. Services: Safe storing of data under existing laws. Operation: Maintenance and development of OPEN Analyse.

For storage, of project data in OPEN Analyse, that takes up more than 200 GB, an additional DKK 2.000 is charged for every extra 300 GB that is put forward.

OPEN Registry advice: Use of OPEN Registry is invoiced in accordance with OPEN’s price list. Contained in the price is OPEN Registry guidance and OPEN project coordination, administration, services and operation. Guidance by OPEN Registry contains: Guidance in the use of the Danish registries, content, data extracts, extract specifications and handling of registry data up to 20 hours. Services: Opportunity to sign up for OPEN’s courses on register based, clinical-epidemiology research.

If the project requires OPEN Analyse in relation to an OPEN Registry project, the compiled use of OPEN’s facilities will be invoiced in accordance with OPEN’s price list. See OPEN Analyse for further description of what this service includes.

In-depth involvement, such as scientific collaboration, data management and data analysis, is possible within OPEN Registry. Furthermore is the possibility for help with establishment and structuring of larger register data bases. Such involvement requires financing of payroll costs for OPEN, as well as possibly co-authorship in accordance with the Vancouver criterias

OPEN Qualitative incl. NVivo: OPEN Qualitative is charged according to OPEN’s price list. The price contains 20 hours of OPEN Qualitative guidance, access to NVivo via OPEN Analyse incl. 20 hours assistance by OPEN IT & Data management, services and operation. NVivo is used for transcription, structuring, coding and analysis of qualitative data, for example interviews or observations. OPEN Qualitative advice consists of guidance in qualitative methods as well as an introduction and guidance in relation to the use of NVivo. For IT & Datamangement see OPEN Analyse. Services: Safe storage of data in accordance with current legislation and possibility of participating in OPEN’s courses about NVivo and Qualitative methods. Operation: Maintenance and development of OPEN Analyse.

Storage of files in OPEN Analyse is free of charge for up to 200 GB, the projects is billed DKK 2.000 for every additional 300 GB, put forward.

OPEN Statistics: Statistical guidance or OPEN Statistics with a scientific contribution in connection to, for example, planning and execution of research projects, as well as help with execution of concrete statistical analysis. Financing of in-depth involvement is agreed in more detail with OPEN as well as possibly co-authorship in accordance with the Vancouver criterias.

OPEN Storage: Used in general for storage and processing of data and files, that need to be accessed with specific software, that is not available in OPEN’s current software package. OPEN Storage is paid as OPEN Analyse. Services: Safe storage of data in accordance with current legislation. Operation: Maintenance and development of OPEN Storage.

Storage of files in OPEN Storage is free of charge for up to 200 GB, the project is invoiced DKK 2.000 for every additional 300 GB, put forward.

OPEN Randomise: Use of OPEN Randomize as a single service for randomization of  a project is invoiced according to OPEN’s price list. Included in the price is up to 20 hours assistance by IT & Data management and services/operation.
IT & Data management includes: Configuration of randomization for the project, continuous assistance, help with the transferring of data to the national Danish archives by expiry of the approval for data processing and storage of data as well as following deletion of data. Services: Safe storage of data in accordance with current legislation. Operation: Maintenance and development of OPEN Randomise. 

3. Projects from universities other than SDU and hospitals outside the Region of Southern Denmark

OPEN Randomise: Use of OPEN Randomise as single service for randomization of projects is invoiced according to OPEN’s price list. Included in the price is up to 20 hours assistance by OPEN IT & Data management and services/operation. OPEN IT & Data management includes: Configuration of randomization for the project, continuous assistance. Furthermore, 10 hours OPEN Project Coordination: General advice on project admission, establishment of project as an OPEN project, drawing up the license agreement, PR for the project via OPEN’s website, reminder of expiry of data processing approval 3 months before expiry. Services: Safe storage of data in accordance with current legislation. Operation: Maintenance and development of OPEN Randomise. 

Affiliation/acknowledgement

OPEN must appear in the acknowledgement on all publications arising from the project. Excluded from this are only publications med an OPEN-employee as co-author. Acknowledgement text should state which OPEN facility the project has used, as well as mention OPEN as: “OPEN, Open Patient Data Explorative Network, Odense University Hospital, Region of Southern Denmark.”. Licensee as well as co signee from Region of Southern Denmark also have the right to use OPEN as affiliation on publications arising from the project. Affiliation is also mentioned as: “OPEN, Open Patient Data Explorative Network, Odense University Hospital, Region of Southern Denmark”. If the journal allows it, a hyperlink to OPEN is included: www.sdu.dk/ki/open. The project must notify OPEN about the publications via e-mail to open@rsyd.dk with a view to announcement of the publications on the project description on OPEN’s website. Required permissions 
The responsible of the project must upload the relevant permissions in the online application system or e-mail the documents to open@rsyd.dk when available. The required permissions will vary from project to project.
