If the PhD student wishes to terminate his/her PhD studies, he/she must notify the PhD School Secretariat of this in writing.
PhD students employed at the Faculty of Business and Social Sciences must notify the Head of Department, the Staff Office and the PhD School Secretariat of parental leave in writing no later than three months before the expected date of birth. PhD students are covered by the rules governing parental leave in the collective agreement. Information on the current rules for childbirth and adoption can be obtained from the University of Southern Denmark's Staff Office or in the Personnel Management circular on childbirth, adoption and child care leave (Only available in Danish).
There are special rules for 4+4 students under Part A. PhD students enrolled without employment at the University of Southern Denmark must notify the PhD School Secretariat of parental leave in writing.
On application to the Head of PhD School, leave of absence due to sickness can be granted if the PhD student has been absent for a given period and this leads to the need for an extension of the enrolment period. PhD students must report in sick to the respective department secretariat Extensions of the PhD programme on the grounds of sickness cannot be granted for absences of less than one month's duration. Please fill in an application for leave in connection with sickness.
Under special circumstances, a leave of absence from the PhD programme for temporary employment of another kind, for instance, can be granted after a substantiated application for this has been forwarded to the Head of PhD School accompanied by a recommendation from the principal supervisor and the Head of Department, if the leave of absence is of academic relevance to the PhD project. Leave must always be applied for in advance of the planned period of leave. The Dean decides whether leave of absence can be granted in consultation with the Head of PhD School and will notify the PhD student of the decision in writing. Please fill in an application for leave of absence on other reasons.
If a PhD thesis has not been submitted by the expiry of the prescribed period of study, the student will be informed that he/she must apply to the Head of PhD School for a postponement of the deadline for submitting the thesis and thereby for an extension of the enrolment period. The application must contain a timetable for the remaining work on the thesis and provide an expected submission date. The application must be accompanied by a recommendation from the principal supervisor and the Head of Department.
If the thesis has not been submitted by the expiry of the extension period, the student will be informed that his/her enrolment has been terminated.
If the Head of PhD School does not receive an application for a postponement of the deadline and thereby an extension of the enrolment period, the PhD School Secretariat will inform the student that his/her enrolment will be terminated if the PhD thesis has not been submitted within six months at the latest after the expiry of the prescribed period of study. Please fill in an application if exceeding the term of enrolment.
