FAQ: Everything you need to know about the workplace assessment process concisely

  • What is a workplace assessment (WPA)?
    A workplace assessment is a statutory process that must be carried out in all workplaces. The WPA process always includes a systematic review of all significant working conditions in the workplace and aims to identify any health and safety issues so that they can be prevented.
  • When should a workplace assessment be carried out?
    A WPA process must be carried out at least every three years or when there are significant changes in working conditions that may affect the working environment. At SDU, a combined workplace assessment and well-being survey is therefore carried out every three years to ensure that all important aspects of both the physical and mental working environment are highlighted. The next workplace assessment and well-being survey will be conducted in 2024.
  • How is the Workplace Assessment and Well-being Survey carried out at SDU?
    The Workplace Assessment and Well-being Survey consists of:
    • mapping (questionnaire survey)
    • analysing and assessing the survey results (reports)
    • agreements on action plans for prevention
    • implementation of the agreed actions/initiatives.
  • How is the mapping for the Workplace Assessment and Well-being Survey done?
    The mapping for the Workplace Assessment and Well-being Survey takes place by inviting SDU’s employees to answer a questionnaire about the working environment and well-being conditions at SDU.
  • Who participates in the questionnaire survey?
    With certain*) exceptions, all permanent SDU employees who were employed no later than 31 July 2024 and are paid for at least 1 day per week (7.24 hours) are invited to participate in the survey. *) Employees who have resigned or are on leave of absence are not invited. Employees with the following job titles are not invited: Assessor, external examiner, examination manager, invigilator, part-time lecturer, academic adviser, guest lecturer, guest teacher, visiting professor, fee-based without title, student teacher, clinical instructor, student assistant, messenger, preparator, student teaching assistant.
  • How do you involve employees who do not participate in the survey?
    The WPA process must include all SDU employees. It is therefore important that the health and safety groups also involve employees who do not participate in the survey in discussions about developing and improving the work environment and well-being in the workplace.
  • Who is responsible for the Workplace Assessment and Well-being Survey at SDU?
    It is the employer’s responsibility to ensure that a workplace assessment and well-being survey are carried out. At SDU, the process is typically planned and coordinated by the health and safety organisation, but all employees have an important role in answering the questionnaire and participating in the subsequent dialogues and analyses of the survey results and agreeing on actions that can develop and improve the work environment.
  • What happens after the Workplace Assessment and Well-being Survey?
    After the survey, all units receive reports with the summarised results of the survey. Based on the reports, all employees should be involved in analysing and interpreting the results so that action plans can be agreed upon that describe the necessary measures to develop and improve the work environment. The action plans are followed up on and revised regularly.
  • How are the WPA results published?
    The WPA results are published on SDU’s intranet, making them available to all employees. The results are also presented at health and safety meetings and discussed in relevant forums. It is important that the results are accessible and transparent so that everyone can contribute to what areas need improvement and what actions are agreed upon.
  • How do you follow up on the results of the Workplace Assessment and Well-being Survey?
    Follow-up on the results of the WPA is done through implementation of the agreed actions described in the action plan. The health and safety organisation monitors progress and ensures that the necessary changes are implemented. Regular follow-up meetings are held to evaluate the effect of the implemented actions and to adjust the action plan if necessary. Employees are encouraged to provide feedback and report any ongoing or emerging health and safety issues.
  • Are the survey responses anonymous?
    Yes, the answers to the Workplace Assessment and Well-being Survey questionnaire are anonymous. This ensures that employees can answer the questions honestly so that the survey gives as true and fair a picture of the work environment and well-being as possible, and without identifying individual employees’ answers.
  • Are the free text responses anonymous?
    The free text responses regarding well-being and the mental work environment are anonymous and are only reported to the area’s health and safety group and the background group for the Workplace Assessment and Well-being Survey. Of course, in your free text responses, you must be careful to word your answers so that you cannot be identified. 
    The free text responses regarding physical conditions are not anonymised. This is due to the need to be able to identify specific physical faults and deficiencies.
  • How is anonymity ensured?
    Anonymity is ensured by collecting and processing responses without linking them to individual employees. The data is analysed in aggregate by the external data processor (Ramboll Management Consulting) and the results are presented in a way that cannot be traced back to individuals.
  • Who has access to the answers?
    Only the external data processor (Ramboll Management Consulting) has access to the raw data and is responsible for this data being disseminated in anonymised reports. No one at SDU has access to the raw data/responses.
  • What happens to the data after the survey?
    After the survey, the data is used to prepare reports for the units that form the basis for discussions with employees on how to develop and improve the working environment and well-being in the units and at SDU. The anonymised data is stored securely and only used for that purpose.
